nSearch Global Pte Ltd is committed to protecting the personal data of our clients, candidates, and website visitors in accordance with Singapore's Personal Data Protection Act 2012 (PDPA).

1. Introduction

We, at nSearch Global Pte Ltd (“nSearch”, “we”, “us”, or “our”), provide enterprise technology talent, staffing, and AI solutions to clients across Singapore, Malaysia, Thailand, and the UAE.

This Data Protection Notice (“Notice”) sets out the basis on which nSearch may collect, use, disclose, or otherwise process personal data of our clients, candidates, and website visitors in accordance with the Singapore Personal Data Protection Act 2012 (“PDPA”).

2. How We Collect Personal Data

Personal information is collected by lawful and fair means only, and not collected speculatively. We conduct regular reviews to ensure that the purposes for collection remain current and valid.

We collect personal data when you:

  • Enter into an agreement or contract with us to receive our services
  • Respond to our electronic direct mail communications (EDMs)
  • Are referred to us by one of our existing clients
  • Enquire about our range of services
  • Visit our website and submit contact information via our enquiry form
  • Communicate with us via calls, emails, or written correspondence
  • Submit a resume or cover letter in response to recruitment advertising
  • Conduct or complete transactions with us

We may also collect, disclose, or use your personal data pursuant to an exception under the PDPA or other written law, such as responding to an emergency that threatens life or health, or conducting an investigation necessary in the national interest.

4. Types of Personal Data We Collect

The types of personal data we may collect include:

  • Contact information: Name, address, phone number, email address
  • Personal details: Gender, date of birth, country of birth, nationality, citizenship, race or ethnicity
  • Professional details: Information contained in a curriculum vitae or job application

Note: Business contact information used strictly for business-to-business purposes is not considered personal data under the PDPA.

5. How We Use Personal Data

We use personal data for one or more of the following purposes:

  • Delivering services that you request or that we offer
  • Identification and verification in connection with our services
  • Processing billing, payment, and credit-related activities
  • Conducting direct marketing through advertisements and EDMs
  • Communicating with clients, potential clients, and website visitors
  • Responding to enquiries and feedback to improve service quality
  • Processing employment passes and visa applications with relevant government agencies
  • Processing job applications, recruitment, and candidate selection
  • Fulfilling obligations arising from contracts with clients and contractors
  • Complying with legal obligations and regulatory requirements

6. Disclosure of Personal Data

We disclose personal data to the following entities or organisations where necessary to fulfil our services:

  • Government agencies, including MOM, CPF Board, IRAS, IMDA, and HPB (employee data only)
  • Third parties required to complete the service delivery process

We will seek fresh consent if the original purpose for disclosure has changed. Where required by law, we may disclose personal data to relevant authorities without prior notification to you.

7. Withdrawal of Consent

Your consent remains valid until it is withdrawn by you. You may withdraw consent and request us to stop using or disclosing your personal data for any or all of the purposes listed above by submitting a written request to us via email or letter.

Upon receipt of your request, we may require reasonable time to process it and will notify you of the consequences of withdrawal, including any impact on our ability to continue providing services.

Withdrawing consent does not affect our right to continue collecting, using, or disclosing personal data where such action is permitted or required under applicable law.

8. Accuracy of Personal Data

We take reasonable steps to ensure that the personal data we collect is accurate, complete, not misleading, and kept up to date.

If we are in an ongoing relationship with you, please update us promptly of any changes to your personal data, such as a change in contact number, email address, or mailing address.

9. How We Protect Personal Data

We have implemented appropriate administrative, physical, and technical measures, including data encryption, firewalls, and secure network protocols, to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, or disposal.

We maintain organisational measures to preserve the confidentiality and integrity of your personal data, sharing it only with authorised personnel on a need-to-know basis.

No method of transmission over the internet or electronic storage is completely secure. While we cannot guarantee absolute security, we take commercially reasonable steps to protect your information.

10. Retention of Personal Data

We maintain a document retention policy that governs the retention schedules of personal data held in paper or electronic form. We will not retain personal data longer than is necessary for the fulfilment of the purpose for which it was collected.

Documents containing personal data are disposed of or destroyed in a secure and proper manner when the applicable retention period has been reached.

11. Access and Correction Requests

You may request:

  • Access to a copy of the personal data we hold about you
  • Information about the ways in which we use or disclose your personal data
  • Correction or update of any personal data we hold about you that is inaccurate

Requests may be submitted in writing via email or letter. We will respond as soon as reasonably possible, or within 21 working days of receipt. If we are unable to respond within this timeframe, we will inform you of the date by which we expect to respond.

12. Transfer of Personal Data

Our data is stored in the cloud within the Asia Pacific region, using Microsoft OneDrive, which supports compliance with the General Data Protection Regulation (GDPR).

We do not currently transfer personal data to countries outside of Singapore. Where such a transfer becomes necessary, we will obtain your consent and take steps to ensure that the receiving party provides a standard of data protection comparable to the PDPA.

13. Use of Cookies

We use cookies to collect information about your online activity on our website. A cookie is a small text file stored on your computer that allows the website to recognise your browser and retain certain information.

Most cookies we use are session cookies, which are automatically deleted from your computer at the end of your browsing session.

You may disable cookies through your web browser settings. Note that doing so may limit access to certain features or functionality of our website.

15. Changes to This Notice

This Notice applies in conjunction with any other notices, contractual clauses, and consent clauses that apply to the collection, use, and disclosure of your personal data by nSearch.

We may revise this Notice from time to time without prior notice. You may determine if any revision has taken place by referring to the date on which this Notice was last updated. Continued use of our services following any changes will constitute your acknowledgement and acceptance of the revised Notice.
